Users won't have access to Approvals that are created by others unless they're either a responder or a viewer of the request. A user is given a viewer role of a request if they are part of the chat or channel where the approval was created. They won't have the ability to take action on the request if they weren't given that role when the approval was created. To use the Approvals app e-signature feature, you need a license for the specific e-signature provider that you want to use.

To obtain a license for your organization, you'll need to go to the provider's site. You can use the Teams admin center to control, which third-party e-signature providers are available to your users in the Approvals app. By default, e-signature providers are enabled in the Approvals app. When you disable an e-signature provider, your users won't have access to that provider when they create approvals. Your users also won't be able to view e-signature requests that were created using that provider.

E-signature approvals created from the Approvals app are stored in the selected provider's cloud environment. To export data about e-signatures, you'll need to go to the provider's site.

These basic approvals created from Microsoft Teams do not require an underlying flow and act as a way to quickly manually send approvals to users within Teams. Once submitted the approvers are notified within Teams and can act on approval either from the chat directly using the Approvals card or from within the Personal app. They can quickly review the details of the approval right within Teams before making a decision to approve or reject the approval. You view all your approvals in one place within the Approvals app in Teams.

From here you can get an overview of key details such as the status, requestor and approvals. You can also drill into any approval to track its progress. Any approval you create using Power Automate will be available in this view, not just approvals created within Teams. This way you have a single place in Teams to manage approvals whether they were generated using a flow or manually using the Teams app.

You can always create and customize your own approvals processes by linking it to an automated or scheduled trigger or even customize the steps taken before and after your approval by creating your own flow.

You can quickly start an approval flow from the same place you send a chat, a channel conversation, or from the approvals app itself. Just select an approval type, add details, attach files, and choose approvers. Once submitted, approvers are notified and can review and act on the request. These approvals are triggered directly with the Power Automate infrastructure and don't require a flow with an approvals action.

You will then have the option of approving or rejecting the file. If the sender has chosen custom responses these will show instead. When submitting a response, you can also leave comments. This is particularly helpful if you are rejecting a file to leave an audit trail on the approval. Your chosen approvers can then view the file and details given.

They then choose to approve the file or reject, with the option to write comments back. Approvals can be sent directly in a chat or a channel.
